Diplomatic relations are developed between the Philippines and UAE in the year 1980. Below mentioned are the services offered by the Philippine embassy in Abu Dhabi.

1. Passport renewal  

Steps required for passport renewal

  • As a first step, one must book an appointment for the e-passport renewal. Booking and scheduling an appointment is free.
  • After booking the appointment, you should attend the embassy on the date of appointment with the documents that are mentioned above.
  • You should get a number at the information center from the queuing officer.
  • After waiting for the number to be called, the processor will check if the requirements are met and if the documents are submitted properly.
  • If everything is flawless according to the processor, then pay the fees to the cashier and if not cleared, then follow the instructions given by the processor.
  • After step 5, go to the encoding section for the biometrics.
  • Make sure that the right information is being typed by the encoder. If there is an error in the passport, the applicant will be charged for the next renewal of the passport to correct the existing error.
  • It usually takes 8 to 10 weeks for claiming of the passport. Always remember to have your old passport and receipt while you are canceling your passport.
  • It’s a rule that the passports are top be released only to the applicant unless it is a minor in which case the passport can be released to the parent or the guardian.

Documents required for renewal of passport

The following can get the renewal of passport without an appointment

  • Children who are under 12 years of age
  • Young people who are disabled
  • Young people who are having special needs
  • People with a medical certificate or pregnant women
  • Seniors citizens (who is 60 years and above)

The appointments for the passport renewal should be done 10 months before the passport expiry.

2. Replacement of lost passport  

Procedure for replacement of lost passport

  • After booking the appointment, you should attend the embassy on the date of appointment with the documents that are mentioned above.
  • You should get a number at the information center from the queuing officer.
  • After waiting for the number to be called, the processor will check if the requirements are met and if the documents are submitted properly.

Documentation required for replacement of passport

  • Original and one copy of Report of Loss by the UAE immigration office which is tamped by the Abu Dhabi Police General Headquarters with English translation.
  • Photocopy of the lost passport if available.
  • Birth Certificate in Security Paper that is issued by the Philippine Statistics Authority authenticated by DFA.
  • In case of a married woman, it is the marriage certificate issued by Philippine Statistics Authority authenticated by DFA.

Fees required for the replacement of passport

  • A fees of AED 100 is required for the affidavit.
  • Verification will be taken for the issuance of loss of your passport. AED 80 will be charged for this and this usually takes a period of 2 weeks.
  • Fees for the loss of e- passport is AED 600.
  • Fees for lost green passports and maroon passports is AED 360.

Additional requirements

If the passport was declared as lost by the applicant and is returned within a time span of 15 days, then you need to submit

  • Notarized Affidavit Of Retrieval which includes the detailed information of how, where and when the passport has been found.
  • Original photocopy of the data page and the last page of the passport.

If the passports are mutilated or damaged

  • You need to submit Affidavit Of Mutilation along with the detailed explanation of how, when and where the passport is found.
  • Original and photocopy of first and last page of the damaged or mutilated passport.

3. Philippine embassy VISA services  

Steps to apply Philippine VISA

  • Download the VISA application form from the VISA application website.
  • All the entries in the application form should be typewritten or computerized as handwritten forms will not be accepted in the embassy.
  • All the documentation should be attached properly and in order.
  • The application form along with the documents should be submitted personally at the embassy. Online applications are not permitted.
  • You should get a number from the queuing officer before entering the Consular section.
  • Once your number has been called proceed to the counter. Here, an interview will be conducted and you will be needed to submit additional documents.
  • Once the interview gets completed, you will be given the Visa evaluation form depicting the date you need to submit the passport along with the additional documents if any.
  • Submit your passport on the given date for your Visa to get issued. You can submit the passports only between 9 am to 12 pm from Sundays to Thursdays.
  • Passport can be submitted by you or anyone on behalf of you.
  • You can approach the cashier to pay the required fees and get the Visa. Visa will be usually issued between 3 pm and 5 pm.

4. Civil Registry services offered at Philippine Embassy  

Birth report

Documentation required to get birth report

  • Four copies of birth forms that are typewritten (can be downloaded from the embassy’s website) with the original signature (the signature should be done only with a black pen)
  • Name of the hospital
  • Full maiden name of the mother
  • Original and 3 UAE birth certificates having UAE MFA stamp
  • Three copies of valid passport copies of parents
  • Original and 3 photocopies of parents marriage contract provided by the embassy
  • Affidavit of delayed registration
  • Negative certification of birth record by PSA

Fees required to avail the birth report

  • Attestation fees of AED 100
  • Birth report fee of AED 100
  • Affidavit of delayed registration fee of AED 100

Report of marriage

Documentation required to get report of marriage

  • Four copies of Report Of Marriage with an original signature that can be downloaded from the Embassy’s website
  • Original and 3 photocopies of marriage contract issued by UAE Ministry Of Foreign Affairs
  • Four passport size photos of the contracting parties
  • Three photocopies of valid passports of the married couple
  • Affidavit Of Delayed Registration if it’s applicable

Fees required to get marriage report

  • Attestation fees of AED 100
  • Report Of Marriage fees of AED 100
  • Affidavit Of Delayed Registration fees of AED 100.

You can get the report of marriage from the embassy after a period of 5 working days. In some cases, you may need to submit additional documents as a proof of your identity, citizenship and eligibility for the registration of marriage according to Philippine Embassy.

Delayed registration of Birth and Marriage reports

Procedure for delayed registration of birth and marriage reports

  • Carry all the documents mentioned above and visit the embassy between 8 am and 12 pm on Thursdays and Sundays.
  • Get your queuing number and wait for your number to come before you approach the Consular section.
  • Once your number appears on the board, you can approach the Counter C and submit all the documents you carry.
  • Make sure that all the information in the application and documents is accurate, if there is error identified by the processor, the applicant needs to visit the embassy again in order to correct the errors.
  • Now, you can go to the cashier and pay the fees required.
  • You will be required to leave the report of birth and marriage application documents with the cashier before leaving the embassy to get them processed.
  • You will get the marriage and birth reports after 2 to 5 working days from the embassy. Documents will be released from 3 pm to 5 pm starting from Monday to Thursday.
  • If the documents are submitted by a third party, then the documents like Claim Stub, Authorization letter from the applicant, photocopy and ID of the authorized representative are to be submitted.
  • All the Reports of birth and marriage will be compiled by the processor and they will be submitted to the Home Office for the onward transmittal to the NSO.

Report Of Death

Procedure to get Report of Death

  • If a Philippine citizen dies in UAE, that can be reported by their family members, co workers, sponsors or company representative etc.,
  • Informant is needed to accomplish Request of Assistance and submit the documents that are mentioned above.
  • After second step, you can approach the cashier and pay the fees of AED 200 in order to get issued with the certificates.
  • Now, you should return to the ATN section to submit the necessary documents and receipt to avail the certifications like Certification of No Objection and Certificate of Mortuary.
  • Certificate of Mortuary is usually needed by the cargo services. This is included with the dead person’s passport and death certificate along with the embalming certificate and the certificate of no contagious disease. This is attached to the box which carried the remains of the person.
  • Once the flight of the cargo gets confirmed, the Embassy will inform the Department of Foreign Affairs of Manila regarding the date and time of arrival of remains for the information of the family.

Documentation required to get Report Of Death

  • Valid passport of the deceased person
  • Original death certificate that are in Arabic and English and are authenticated by Ministry Of Foreign Affairs
  • Letter from the employer
  • A letter of acceptance from the family of the deceased person

5. Notary and Authentication services  

Documents that are processed and executed outside Philippines in order to get legalized in the Philippines must be acknowledged by the Philippine Embassy.

An acknowledgment is nothing but the execution of a document in the presence of the Embassy or the Consular officer and finalizing it to be his true and voluntary act or deed.

An authentication is when the signature of the recognized UAE official is authenticated by the Philippine Embassy.

Procedure to get Notary and Authentication services

  • In order to get Notary and Authentication services, you should first gather all the essential documents that are mentioned above.
  • As a next step, get the queuing number for the Notarial and Authentication Counter prior to entering the Consular section.
  • Once your number has been called, submit all the required documents at counter B.
  • As soon as the initial evaluation is done, a claim stub will be given to you. Proceed to the cashier and pay the fees.
  • After 3-5 days, you can bring your claim stub and collect the documents from Sundays through Thursdays.

Documentation and requirements for the Notary and Authentication services

  • The document that is to be notarized or authenticated.
  • Photocopy (usually 1) of passport per document that has to be notarized or authenticated.
  • For affidavits of support and guarantee, photocopies of passports are essential.

 Requirements

  • The labor contracts should be verified by the Philippine Labor Office.
  • Birth and marriage certificates should be stamped by the Ministry Of Foreign Affairs.
  • Certificates of residency and unemployment for travel tax exemption are free.

Fees involved

         A fees of AED 100 should be paid per document.
